This notice explains how your personal data is processed when you use Polichat, in line with Article 10 of the Turkish Personal Data Protection Law No. 6698 (KVKK).

What data we process
Your account details (your email address; your name and profile photo if you sign in with Google), your chat messages, the policy and claim documents you upload and the information in them (such as names, policy numbers and coverage), your credit and purchase records, and technical logs kept for security (IP address, request logs). For agency accounts, customer records saved by the agency are processed as well.
Why we process it
To create and manage your account, read your documents and answer your questions, track your credits, and keep the service secure. Your data is not used for advertising and is not sold.
We process your data as far as needed to provide the service (KVKK Art. 5/2-c), for our legitimate interests such as keeping the service secure (Art. 5/2-f), and where the law requires it.
AI processing and transfer abroad
Your messages and text extracted from your documents are sent to Google’s Gemini AI service to generate answers. Sign-in is handled by Google Firebase. Hosting and storage run in data centres outside Turkey (in Europe). Your data is therefore transferred to service providers outside Turkey. If you buy credits, payment is made on the payment provider’s page; your card details never reach us.
Agencies’ customer data
For customer data an agency saves in Polichat, the agency is the data controller and Polichat processes it on the agency’s behalf.
How long we keep it
Your account and documents are kept until you delete them. Old chat messages and usage logs are deleted after 90 days. The chat cache used to keep answers consistent is deleted after 7 days. Data you delete may remain in backups for a limited time.
Your rights
Under Article 11 of KVKK you may ask whether your data is processed, request information, ask for correction or deletion, object to processing, and claim compensation for damage. You can delete all your data and your account yourself from your profile page. For other requests, write to the contact address above.
